Reservations

Reservations for the accommodations can be made by phone, online, electronically, or through travel agencies, booking centers, or any other method that allows for formalization.

Reservations must be confirmed through any system that provides proof and verification, depending on the method used.

Payment Methods

Payments for reservations will be made through the electronic payment platform “Stripe”. To complete the payment, the customer must create an account on this platform. The platform’s data protection policies are described in its Privacy Policy. More information is available at: https://stripe.com/gb

There are two types of payment options for reservations:

  • Non-refundable rate: Direct payment upon booking. The customer will pay the full amount of the reservation at the time of booking, acknowledging that it will not be refunded in case of cancellation.

  • Free cancellation rate: No payment will be charged to the customer’s card at the time of booking. The amount for the first night will be charged three days prior to the arrival date. The charge will be made virtually to the customer’s card using the provided data to guarantee the reservation.

    The validity of the card may be verified with a minimal pre-authorization after booking and before arrival. The customer will be notified of this by email. If the card is invalid, the customer will have 24 hours to update the payment method after receiving the email. Failure to do so will result in the cancellation of the reservation.

Prices

Prices may vary depending on booking dates and other factors (events, shows, or demand changes). You can view your final price (with and without VAT) before completing your booking. Once booked, the price will not change unless the customer modifies the reservation, in which case additional charges may apply as described below.

There is a price difference between “NON-REFUNDABLE” and “FREE CANCELLATION” rates; please check which option suits you best.

Taxes

Spanish law establishes a 10% VAT charge on all reservations. All bookings will display the VAT breakdown and the total price including tax.

Reservation Modifications or Cancellations

  • Non-refundable rate: This rate does not allow for refunds in case of modification or cancellation.

  • Free cancellation rate: Allows for modifications or cancellations up to 3 days before arrival at no cost. If modified or canceled less than 3 days before arrival, the amount of the first night will be charged and is non-refundable.

    For both rates, if the customer fails to show up without prior notice, ARENAL SUITES will charge the total reservation amount to the customer’s card.

    ARENAL SUITES reserves the right to take legal action if customer no-shows or breaches cause financial loss (such as lost income) or reputational damage.

Check-in / Check-out

The check-in and check-out times are specified in your booking confirmation. Please read them carefully and contact us if you have any questions.

If the customer wishes to check in earlier or check out later, they must contact Arenal Suites to assess availability. This is subject to prior agreement and availability.

An additional charge of €10 (plus 10% VAT) per hour will apply for early check-in or late check-out.

Guest Identity and Occupancy

The number of guests may not exceed the number agreed upon in the booking, except for children under three years old.

In case of non-compliance, ARENAL SUITES reserves the right to request immediate eviction without refund or compensation.

All guests must provide valid identification upon arrival for registration purposes.

Customers must provide their name, ID number, phone number, and email as listed in the booking.

Responsibilities

ARENAL SUITES is not responsible for incidents, injuries, theft, fire, or other damages resulting from guest use of the apartment.

If a defect unrelated to guest misuse prevents the stay, ARENAL SUITES will resolve the issue promptly or, if not possible, provide a similar apartment or refund the proportional amount.

Guests use the apartment at their own risk and release ARENAL SUITES from liability for injuries not caused by the property’s condition.

ARENAL SUITES is not responsible for lost or stolen belongings.

Guests are liable for damages beyond normal wear and tear. Costs for repairs or missing items may be charged to the customer’s card.

Lost keys and lock replacement carry a fee of €150 (plus VAT).

Upon departure, apartments must be left in good condition. A cleaning fee of €25 (plus VAT) may apply if left excessively dirty.

Smoking is prohibited in all areas. Evidence of smoking will incur a €25 (plus VAT) cleaning charge.

Guest Behavior

Guests must behave appropriately and respect the community’s rules:

  • No pets allowed in common areas or apartments.
  • No smoking allowed.
  • Do not drag luggage through common areas.
  • Avoid loud noises, music, or activities that disturb neighbors.
  • Respect cleanliness and hygiene in all common areas.
  • Observe quiet hours from 15:00 to 17:00 and 23:00 to 09:00. Parties are strictly forbidden. Violations may result in eviction without refund.
  • Any breach of terms grants the company the right to demand immediate eviction without compensation.
  • Booking an apartment implies unconditional acceptance of these terms and conditions.

Complaints and Claims

ARENAL SUITES provides official complaint forms upon request and complies with national and regional regulations governing tourist apartments.

We strive to maintain high-quality standards and continuously improve based on guest feedback.

At the end of your stay, please leave the apartment as you found it. Moving furniture or leaving it unclean will incur a €25 (plus VAT) cleaning fee.

Do not exceed elevator capacity limits.

Kitchen utensils must be cleaned by the guest. Failure to do so will result in a €25 (plus VAT) cleaning charge.

Bicycles, strollers, or similar items are not allowed in building entrances. The property management may remove them.

Ensure the main door is properly closed when entering or leaving the building.
